Privacy Notice
Last updated: 26 October 2026
1. Who we are
Bifrost Engineering Ltd is responsible for the personal information described in this notice. We are registered in England and Wales under company number 17493934. Our registered office is Hinton Bank Farm, Hinton, Whitchurch, United Kingdom, SY13 4HB. For privacy questions or requests, email info@bifrostengineering.com, telephone 01948 838115 or write to our registered office. This notice covers visitors to our website and people who contact us about our engineering services.
2. Information we collect
When you use our enquiry form, we collect your first name, last name, email address and project details. You may also provide a phone number and company name. We receive any additional information you choose to include in emails or other correspondence. Please avoid including unnecessary sensitive personal information. The website and its providers may also process technical information, such as IP address, browser and device information, security logs, pages visited and cookie preferences. Optional tracking depends on your choices and the services enabled on the site. The form marks required fields; without enough contact and project information, we may be unable to respond usefully.
3. Why we use information and our lawful bases
We use enquiry information to understand your requirements, answer questions, prepare proposals and communicate about potential projects. Where you are contracting with us personally, this may be necessary to take steps at your request before entering a contract or to perform that contract. For enquiries made on behalf of a business, we rely on our legitimate interests in responding to enquiries and managing business relationships, balanced against your rights. We also rely on legitimate interests to maintain and protect our website, prevent misuse and handle complaints. We use information to meet legal obligations where the law requires it. Where a cookie or other activity requires consent, we seek that consent separately. Agreeing to website terms or sending an enquiry is not blanket consent to other uses of your data.
4. Service providers and sharing
We use Wix to host the website and operate its contact form and contact records. Form submissions can be stored in Wix and sent as email notifications to info@bifrostengineering.com. We use Google Workspace to receive, store and manage business email. These providers and their relevant service providers process information needed to deliver their services. Information may also be shared with professional advisers or authorities where necessary for advice, a legal obligation or a legal claim. We limit sharing to information relevant to the purpose. We do not sell enquiry contact details. If a project requires sharing information with another service provider, we will provide appropriate information about that use.
We use Usercentrics for Wix, provided by Usercentrics GmbH, to operate our cookie-consent banner and remember and apply visitor choices. This involves consent records and technical information needed to operate the controls. These records help us respect and demonstrate your privacy choices.
5. International processing
Wix and Google operate internationally, so information may be processed outside the UK. Their published data processing terms explain their service providers and international transfer arrangements. Where UK transfer restrictions apply, transfers must be covered by an applicable UK adequacy decision or appropriate safeguards recognised under UK data protection law, such as approved contractual terms. You can contact us for information about the safeguards applicable to your data and how to obtain a copy. Further information is available in Wix's Data Processing Agreement and Google's Cloud Data Processing Addendum.
6. How long information is kept
We keep enquiry records for as long as they are needed to respond, deal with related correspondence and pursue a reasonably anticipated project discussion. If an enquiry becomes a project, relevant records may need to be retained for project administration, aftercare, accounting, legal obligations and the establishment or defence of legal claims. We assess retention by considering the purpose, the sensitivity of the information, any ongoing relationship and applicable legal requirements. Information that is no longer needed should be deleted or anonymised; backup copies may remain until the relevant provider's backup retention cycle ends. You may ask us about retention of your particular information using the contact details above.
7. Newsletters and future marketing
We do not currently send newsletters or other marketing using website enquiry details. Submitting the enquiry form does not subscribe you to marketing. If we introduce marketing in future, we will explain it separately and obtain consent where required, or identify another permitted basis and offer the choices required by law. You will be able to unsubscribe from marketing messages or contact us to object. We may retain limited suppression information to ensure that an opt-out is respected. Any future marketing use will be reflected in an updated notice before it begins.
8. Your rights and complaints
Depending on the circumstances, you can ask to access or correct your personal information, request deletion or restriction, and request a portable copy of certain information. You can object to processing based on legitimate interests and have an absolute right to object to the use of your personal information for direct marketing. Where we rely on consent, you can withdraw it without affecting the lawfulness of earlier processing. Contact info@bifrostengineering.com to exercise your rights. We may need information to verify your identity and will respond within the applicable legal time limit. If you are concerned about our handling of personal information, please contact us. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint; you do not have to give up that right by contacting us first.
9. Security, cookies and changes
We use appropriate measures to protect personal information and restrict access to those who need it for the relevant purpose. No internet transmission or storage system can be guaranteed completely secure. Our Cookie Policy explains cookies and related choices. This notice may be updated as our website, services or legal requirements change; the date above identifies the latest version. Material changes will be brought to your attention where required. Please contact us if you need this information in another accessible format. User privacy choices do not prevent you from contacting us by email or telephone.
